Privacy notice
Last updated: October 2026
This notice explains what personal information B Fitness collects about you, why, and what you can do about it. B Fitness is run by Rafia Bi and is the "data controller" for the information described here.

What I collect
| When you get in touch | Your name, phone number, email address and whatever you tell me about your goals. This comes through the enquiry form on this site, WhatsApp, email, Instagram or TikTok. |
|---|---|
| When you fill in the new client questionnaire | Your contact details, goals, lifestyle, activity levels, eating habits and answers to health and safety screening questions. The questionnaire is a Google Form. |
| While you train with me | Session notes, your training plan, progress records and anything you tell me that affects your training. |
| Photos | Only if you give me permission, and only for the purpose you agree to. You can withdraw that permission at any time. |
Health information. Some of what the questionnaire asks — injuries, medical conditions, medication, pregnancy — counts as a special category of personal data under UK data protection law. I ask for it only so I can train you safely, I rely on your explicit consent to hold it, and I keep it confidential. You can refuse to answer, but I may not be able to train you safely without it.
Why I use it, and my lawful basis
- To reply to your enquiry and arrange your free call — because you asked me to (steps taken at your request before entering a contract).
- To plan and deliver your training and nutrition coaching — to perform our contract.
- To keep you safe while training — your explicit consent for health information, and my legitimate interest in delivering a safe service.
- To take payment and keep business records — to perform our contract and to meet my legal obligations.
- To use a photo or review publicly — only with your consent, which you can withdraw at any time.
I do not sell your information, and I do not use it for advertising to you unless you have asked to hear from me.
Who else sees it
I keep your information to myself. It is handled by the services I use to run B Fitness:
- Google (Google Forms and Google Drive) — stores your questionnaire answers.
- WhatsApp (Meta) — carries messages between us if you contact me that way.
- My email provider — carries and stores emails.
- My website host — serves this website.
These providers may store or process data outside the UK. Where they do, they are required to protect it to UK standards. I will share your information with someone else only if you ask me to, or if the law requires it — for example, in a medical emergency or if I am legally obliged to.
This website
This site does not set advertising or tracking cookies and does not run analytics. The enquiry form does not send anything to a server: it opens WhatsApp on your own device with a message ready for you to send, so nothing is recorded unless you press send. Fonts are loaded from Google Fonts, which means Google receives your IP address when the page loads. Links out to Instagram, TikTok, WhatsApp and Google Forms take you to those companies' own services, which have their own privacy policies.
How long I keep it
- Enquiries that don't become clients: up to 12 months, then deleted.
- Client records, including health screening: for as long as you train with me and for up to 7 years afterwards, which covers insurance and tax requirements.
- Payment and accounting records: 6 years, as HMRC requires.
- Photos and reviews used publicly: until you ask me to remove them.
Your rights
Under UK data protection law you can ask me to:
- give you a copy of the information I hold about you;
- correct anything that is wrong;
- delete your information, where I do not need to keep it;
- limit or stop how I use it, or object to my using it;
- send your information to someone else;
- withdraw your consent at any time, where I rely on consent.
Just ask me by email or WhatsApp. It costs nothing, and I will respond within one month. Withdrawing consent does not undo anything done before you withdrew it.
Complaints
If you are unhappy with how I have handled your information, please tell me first so I can put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint or on 0303 123 1113.
